Access Union County Court Records

Most people hunting Union County court case records need to start by asking one question: which clerk holds the file? The Circuit Court Clerk keeps Circuit and General Sessions papers. The Clerk and Master keeps Chancery and probate matters. Juvenile and municipal courts keep their own. A good request names the court, the case, the date range, and the exact paper. Start with the public docket when one exists, then pick the route that fits, whether that is a phone call, the counter, inspection, copies, or a written request.

Union County Court Record Requests

Circuit and General Sessions cases can be located through the Union County Online Court Records System. A result there gives you a case reference and court type. It is not a certified copy, though. It also does not promise that every filing is online.

Union local rules keep Circuit and Criminal records in clerk custody. You examine the file at the clerk's office. You pay a reasonable cost for copies. The original never leaves except as authorized. When you make a request, include the court, the full number, and the style if you know it. Add the rough filing or hearing date, the exact entry you want, and whether you need a plain or certified copy. Ask which delivery method that office accepts: inspection, mail, fax, email, or pickup. Fax contacts and fax filing are public. That does not mean one fax line takes every records request.

  1. Identify the court and its records custodian.
  2. Use the local docket search when Circuit or General Sessions applies.
  3. Describe only the file, date range, or paper actually needed.
  4. Ask about format, copy charge, certification, and payment.
  5. Confirm delivery or inspection details before sending funds.

Union County Court Record Custodians

No single "county clerk" holds every judicial record here. Barbara Williams, the Circuit Court Clerk, maintains the Circuit and General Sessions dockets. Sandra Edmondson, the Clerk and Master, handles Chancery and probate files. Juvenile Court/Youth Services controls juvenile material. Each city court or recorder takes local ordinance and municipal traffic matters.

Record lane Custodian First contact
Circuit and General Sessions Circuit Court Clerk 865-992-5493
Chancery and probate-related Clerk and Master 865-992-5942
Juvenile Juvenile Court office 865-992-3081

Tennessee appeal Appellate clerk system Public Case History

The Union County Clerk issues vehicle titles, marriage licenses, and other county services. That office is separate from the Circuit Court Clerk and the Clerk and Master. So do not send a court file request there.

Custody also shapes what belongs in your request. For Circuit or General Sessions, give the Circuit Court Clerk the full case reference. Include the court and case type, the style if known, and a narrow date range. Chancery and probate requests should identify the Chancery matter for the Clerk and Master. Juvenile requests must go through the Juvenile Court office, since the adult online index cannot replace that office's restricted process. A municipal citation needs the city and the issuing court, not just a Union County address.

Channels vary by custodian. The local index finds some Circuit and General Sessions matters. A caller can confirm whether a file is held. The caller can also confirm whether a setting is still current, and how to get a specific paper. The courthouse counter allows inspection where access is permitted. Local rules allow copies at reasonable cost while the original stays in clerk custody. If you want mail, fax, or email service, confirm that channel directly. The published fax-filing material does not create one universal records request route.

For a Tennessee appeal, Public Case History shows appellate milestones and some filed PDFs within its stated date coverage. It never replaces the Union County trial file. A general Tennessee Public Records Act request should likewise name the actual record and custodian. State whether you want inspection, an ordinary copy, a certified copy, or a redacted copy. That way your request lands in the right office, and staff can calculate page and certification charges before you pay.

Kinds of Court Records

A Union County court file can hold pleadings, motions, orders, judgments, minutes, subpoenas, warrants, exhibits, notices, and payment or enforcement entries, all depending on the case. The docket is the ordered index of those events. It points you toward the file. It is not the file itself.

  • A pleading states a party’s claim, defense, or other formal position.
  • A motion asks the court for a particular ruling.
  • An order records a judge’s direction or decision.
  • Minutes are the clerk’s official account of court action.
  • A judgment records an enforceable decision or outcome.
  • The rule docket and execution docket track compliance or enforcement work.

Chancery files can involve probate, adoption, conservatorship, divorce, contracts, real property, or parenting matters. Those categories carry their own limits. Juvenile records follow separate confidentiality rules.

Union County Court Record Dockets

The Circuit Court Clerk's office description lists both a rule docket and an execution docket among its duties. A rule docket can track show-cause or compliance matters. An execution docket covers the steps used to enforce or collect a judgment. These local terms are worth knowing. They matter when a public search result looks nothing like a standard trial setting.

Rule docket
A local docket for rule, show-cause, or compliance questions.
Execution docket
A record tied to enforcement or collection after judgment.
Show cause
An order to appear and explain why proposed action should not occur.
Disposition
The outcome or procedural resolution recorded in the case.

When you ask the clerk for a paper, copy the exact phrase and date from the docket entry. That works far better than requesting every record tied to a person.

Court Records: What They Contain

What you can see depends on the court, the matter, and the access rule. A public docket may list an event while its attachment stays unavailable. A certified file may contain only the items you requested and that are eligible for release.

Case number and style Identifiers used to match the request to the correct file.
Docket entries Dates and descriptions of filings, hearings, and rulings.
Pleadings and motions Requests and positions filed by parties when public.
Orders and judgments Court rulings, subject to sealing or redaction.
Minutes The clerk’s official record of court action.
Certification The clerk’s authentication of a supplied copy.

A balance on a docket can be stale. The Circuit Clerk collects costs, fines, and restitution. Ask that office for the current payment or satisfaction status when money is the real question.

Union County Court Record Copies

Inspection, a plain copy, a certified copy, and the online index each answer a different need. Inspection means reviewing the material at the custodian's office. A plain copy reproduces one selected paper. Certification adds the custodian's authentication, and the online index is the tool for finding the file in the first place.

Option Best use Limit
Online index Locate a Circuit or Sessions case Not certified or complete
Office inspection Review available clerk-held papers Original stays in custody
Plain copy Keep a readable working copy No clerk authentication
Certified copy When official authentication is required Added fee and processing

The Clerk and Master will walk you through how to submit a request or order copies of a Union County court record. What staff cannot do is pick a form or remedy for you. They handle mechanics, never legal advice.

Copy Fees and Certification

Plain copies run 50 cents per page, according to the Union County filing-fee page. Certification adds $5. The Juvenile page posts the same per-page and certification figures plus a fax-filing charge. Fees shift over time. Service or a different court process may carry its own charge.

Item Published amount
Ordinary copy $0.50 per page
Certified copy $5
Juvenile fax filing $5 plus $1 per page

Before you pay, ask the office how many pages it will charge for and whether certification is priced per document. Confirm which payment methods it takes. Never send money based on an old docket amount.

Note: Verify every copy fee with the custodian before ordering because online fee schedules can change.

Union County Appellate Court Records

Tennessee Public Case History covers the appellate side, separate from the trial courts. Appellate filings made after September 1, 2006 appear there. PDFs may exist for filings after August 26, 2013. Older orders have thinner online coverage. The portal updates its data through the end of the prior business day. Those dates belong to the appellate system. That timing does too, not a Union County trial docket search. An appeal entry can show the trial court, milestones, history, roles, disposition, and some filings. Want a certified appellate record? Follow the appellate clerk's rules. The original Union County trial file stays with the local custodian.

Access Rules for Court Records

Tennessee Supreme Court Rule 34 sets the framework for public access to court records. It works alongside statutes, court orders, and confidentiality rules. The Tennessee Public Records Act gives citizens the right to inspect and copy public records. It rests chiefly on Tenn. Code Ann. §§ 10-7-503 and 10-7-505. Exceptions apply. Lawful identification or citizenship procedures can be required.

Expect some material to be withheld or redacted. That includes sealed records, protected identifiers, victim information, medical or financial attachments, adoption material, and certain domestic or conservatorship content. Union County Juvenile rules treat many juvenile reports as confidential. Hearings stay closed unless law or the court allows entry. A broad public-records request does not override any of these limits.

Ask whether the record is sealed, confidential, or available in redacted form. A docket entry can remain visible even when the filed document is restricted.
